Changing the Funding Source

A few things to note

Use the  if the need arises to change the funding source during an appointment. 

  • It is not necessary to submit a separate PAF for each funding source. 
  • It is not necessary to end an appointment then re-appoint in order to change the funding source.
  • A funding change can be made without affecting other terms of the appointment. However, if at the same time as a funding change the appointment is also being extended or changes are being made to the employment terms (e.g. a decrease in the number of hours worked, a change to the rate of pay or a substantive change in job duties), a new 51猎奇入口Offer of Employment or a Notification of Change in End Date letter may be required. In this case do not check the 鈥淔unding Change Only鈥 box on the PAF. See Appointing.
  • Research Accounting and/or Finance approves funding change requests then sends to PAF to Payroll for processing.
  • If the change in funding source(s) affects the Supervisor鈥檚 ability to employ the RA, the contract must be ended early. See Concluding.

 

How to complete the PAF to revise the funding source(s)

When the need arises to change the funding source for a research employee during their appointment period, use a PAF to indicate the change. This can be done without affecting the terms of the appointment.

  • It is not necessary to submit a PAF for each funding source. 
  • It is not necessary to end an appointment then re-appoint in order to change the funding source.
  • It is necessary for the grant鈥檚 signing authority to sign the PAF.         
  • It may be necessary for Research Accounting and/or Finance to review the change. Departments are responsible for the spending authority workflow. 

Indicating the funding source(s) for new appointments

When appointing a new employee, use page 1 of the revised PAF to indicate where the employee鈥檚 pay is to be charged to.

ENTER: 

  • Project #: 6-8 digits 
  • Object Code: 4 digits
  • Fund #: 2 digits
  • Department: 4 digits
  • Program #: 5 digits, enter 00000 if no program code

The complete accounting string must be entered in order for the PAF to be processed.

Revising the funding source(s) for existing appointments

If only changing the funding source(s) during an appointment:.

check

鈥淔unding Change Only鈥 box at the top of the form to indicate that only a change to the funding source is required.

Enter

New funding source information and the start date of the new funding source in the Funding Source top table on page 1 - the start date being the day immediately following the end date to the original funding source.

Current funding source information and end date of that funding in the Funding Source bottom table on page 1.

  • Changing the funding source end date on the current funding source does not affect the appointment end date, it indicates when the charges to that funding source end.

If there are also changes to the terms and conditions of employment e.g. increase or decrease in the number of hours worked, increase or decrease in the rate of pay, a change in job duties, please reach out to HR RPT (rpinfo@sfu.ca).  In this case do not check the 鈥淔unding Change Only鈥 box.

If the change in funding source(s) affects the Supervisor鈥檚 ability to employ the individual (e.g. insufficient funds, grant end date prior to the appointment end date, etc.) reach out to HR RPT (rpinfo@sfu.ca).  See Concluding to initiate this.
